  • User Roles

    LinkSquares offers two levels of user access. The highest level is the “Owner” role that has access to all features within the application such as the Library and has full edit, create and delete access to all objects. The base role is called “Member” and this role does not provide access to the Library.

  • File Conversion

    LinkSquares accepts files for the creation of new Agreements in the following file types:

    • .docx (this is the standard for Microsoft Word)
    • .pdf

    We also provide the ability to convert scanned PDFs into a searchable format. As a part of your service with LinkSquares, a certain quantity of scanned PDFs have already been included. As always contact support@linksquares.com if you have any questions.

  • How does LinkSquares Reporting work?

    Great question! We use a form of natural language processing called “n-gram indexing” to index every word contained with a file. The “n” in “n-gram” references to the limitless capability for LinkSquares to provide search results based on the words that you define for a query. This provides the maximum flexibility to find the results that you need. The default search for LinkSquares is what we call a multi-word AND. The agreements that match your query must contain both words with close variations. In addition, we have the ability specify a query with a phrase match (meaning the words are concurrent), exact (without any close variations) and also wildcard search with the use of the * operator (to search for words that start with the word agree, you would use agree* with the wildcard checkbox). Lastly, we have the ability to a multi-query search, with the boolean operation of AND. You can now create 2 independent, customized queries that will be used to provide results.

  • How do I create a new User?

  • How do I have to set up my password?

    Your password should have at least 8 characters with 1 letter, 1 number, 1 special character.

  • Who can I contact about adding more files to my account?

  • Data Hosting

    Our application is hosted in a SSAE16 SOC 1 Type II and SOC 2 Type II certified, and Safe Harbor Certified data center with DigitalOcean. These data centers include state-of-the-art physical and environmental access controls and safety features including:

    • 24/7 professional security staff, video surveillance, and intrusion detection systems
    • Fire detection and suppression, redundant electrical power systems, and uninterruptible power supply (UPS)
    • Monitoring of electrical, mechanical, and life support systems and equipment

  • Data Backup

    We complete an encrypted daily backup with all source files and metadata to AWS S3. The data is transferred through the use of a secure point to point connection. The encryption is industry standard AES 256-bit key encryption. We regularly test the replication of our production environment from backup as a part of our security process.

  • Internal controls

    LinkSquares grants access to customer data internally using the “principle of least privilege” through appropriate roles and only on a “need to know” basis, and manages its systems in line with security industry best practices including the ISO 27000 series and NIST Security Publications.

  • Do you offer any integrations with other applications?

    Yes, we have the ability to sync with cloud storage providers such as Google Drive, Dropbox, OneDrive and Box. With syncing enabled, we’ll transfer any files that have been added to a specific folder directly into LinkSquares each day. Contact support@linksquares.com to learn more.

  • Email Agreements to LinkSquares

    We provide an unique email address to every customer that allows you to email an executed PDF directly into LinkSquares to be created as a new Agreement. We offer this free of charge to all of our customers, so if you don’t know your unique email address, please contact support@linksquares.com.

  • Do you offer Single Sign On (SSO)?

    We offer Single Sign On (SSO) through Google. Use your Google credentials during the sign up process to connect it with LinkSquares. We also offer SAML based SSO, please contact support@linksquares.com for additional information.
